Bank feed matching is not the same as reconciling to the statement

This is the part that gets lost in most comparisons. A tool that works on the bank feed starts from the assumption that the feed is complete and correct. Usually it is. But anyone who has closed a few hundred client months in QuickBooks Online or Xero has seen the exceptions:

  • Dropped lines. The connection breaks for a week, the bank reconnects, and two or three days never come through.
  • Duplicates. A reconnect or a manual upload on top of the feed brings in the same transactions twice, and both get categorized.
  • Pending versus posted. A card authorization shows up for one amount and posts for another.
  • Opening balance drift. Someone edited a reconciled transaction last quarter and the beginning balance no longer agrees with the bank.

Categorizing the feed faster does not catch any of these, because the problem is in what the feed delivered. Reconciling against the statement does, because the statement is the bank's own record of the month. That is why a CPA reviewing year-end books asks for the statement balance and the outstanding items, not for the category accuracy rate. This is not apples to apples, and it would be misleading to pretend it is. Booke's price includes categorization and document work we do not do. The fair reading is narrower: if bank reconciliation is the job you are paying for, a reconciliation tool costs less per company, and you are not paying for features you will not use. What month end looks like with BankReconciler

Download the statement from the bank in whatever format it offers. A PDF is fine. Export the cash account from the ledger, which in QuickBooks Online is a transaction report for the bank account and in Xero an account transactions report. Upload both.
