For Epicor Kinetic and Epicor ERP 10

Epicor bank reconciliation software for when Auto Match leaves most lines open

Bank Statement Processing imports the statement fine. Then Auto Match pairs a handful of lines and the rest wait for someone in accounting. Upload the statement and an Epicor cash export and get the whole month matched.

No customization. No partner project. No bank login.

The short answer

Epicor Kinetic reconciles a bank account in Bank Statement Processing, where Auto Match pairs statement lines with Epicor transactions. When references are missing, as they are on most ACH and grouped deposits, Auto Match leaves the line for manual work. Matching the full statement against an Epicor cash export first turns that manual pile into a short review list.

Why Epicor Auto Match leaves so many statement lines unmatched

On the Epicor user forum, a Kinetic 2023.2 customer wrote that Auto Match was matching about 10% or less of the statement and asked how other teams reach 60 to 90%. Their diagnosis was the same one most manufacturers and distributors run into. Auto Match needs a reference both sides share, and the bank file often does not carry it.

ACH payments

No payment number on the way back

The NACHA file goes out with Epicor's payment number, and the bank CSV comes back without it. Nothing to match on except amount and date.

Customer receipts

Names that do not match the record

The bank shows the remitter's short name. Without a search cross reference on every customer, the deposit stays unmatched.

Grouped deposits

One credit, several receipts

Lockbox and card processor deposits combine many cash receipts into one bank line with one total.

Odd entries

Refunds, fees and interest

A vendor refund entered as an AP adjustment does not show up to match, and posting it as an undefined line creates a variance.

How to reconcile an Epicor bank account in four steps

  1. Export the cash account

Run a BAQ or the General Ledger report filtered to the cash GL account for the statement month and export it to Excel. Keep the date, the reference or payment number and either Debit and Credit columns or one signed amount. A debit to cash reads as money in, a credit as money out.

  2. Get the statement

Use the same file you already import into Epicor, MT940, CAMT.053 or the bank CSV, or simply the PDF. XLSX, OFX, QFX and QBO work too, and nothing needs an electronic interface. See supported formats.

  3. Six matching passes run

Exact amount and date, then check or reference number, then amount inside a date window, then grouped deposits that add up to the cent, then duplicates and near matches. An ACH with no payment number still matches on amount and timing.

  4. Finish in Bank Statement Processing

Run Auto Match as usual, then match the leftover lines from the finished list instead of searching for them. Enter fees and interest from the adjusting entries file, post the statement and print the Bank Reconciliation report with no variance.

What you get back for each Epicor bank account

Matched list

Every line paired, with the reason

Each statement line shows the Epicor entry it matched and which pass matched it, so the reviewer can check the logic, not redo it.

Grouped receipts

Lockbox and processor deposits

Combinations of up to six receipts from the 14 nearest by date tested for an exact sum, the same engine as matching bank deposits to invoices.

Missing in Epicor

Bank activity nobody posted

Analysis fees, interest, returned items and card chargebacks that are on the statement and not in the cash account.

Outstanding items

Checks and payments still out

Uncleared checks carry to next month on their own and build the outstanding checks list auditors and lenders ask for.

Adjusting entries

A CSV of what to post

Date, description, suggested account and amount for each missing item, ready to key as a statement line or a GL journal.

Report

A file per account per month

A PDF and XLSX bank reconciliation report with statement balance, outstanding items, adjusted balance and preparer, ready for the close binder.

Who reconciles Epicor this way

Manufacturers on Kinetic

Job shops and discrete manufacturers with an operating account, a payroll account and a sweep, where the controller also owns costing and inventory and cannot spend three days a month on bank lines.

Distributors with lockbox deposits

Companies whose customers pay by ACH and lockbox, so a single bank credit stands for a dozen cash receipts and the remitter name never matches the customer master.

Multi-company Epicor groups

Groups running several Epicor companies, each with its own banks. Every company gets its own workspace on the Business and Firm plans, with a status board for the close. See bank reconciliation for accountants.

If your bank sends rich BAI2 or MT940 detail and your cross references are maintained, Auto Match can do most of the work and you may not need us. The case for matching outside Epicor is the account where references never survive the trip through the bank, which is common with ACH and lockbox. Larger treasury teams with dozens of accounts may prefer a full close platform. Our automated bank reconciliation page shows each matching pass with examples.

Epicor bank reconciliation questions

How do you do a bank reconciliation in Epicor Kinetic?

Assign an electronic interface and reconciliation parameters to the bank account in Bank Account Maintenance, on the Bank Reconciliation tab. Import the statement in Bank Statement Processing, run Auto Match, and match the leftover lines by hand. When the statement ties out, post it and print the Bank Reconciliation report for the month.

Why is Epicor auto match not matching my bank transactions?

Auto Match relies on a reference it can find on both sides. ACH payments sent from a NACHA file often come back in the bank file without the payment number, customer names on deposits do not match the customer record unless search cross references are set up, and one bank deposit can cover several cash receipts. Each of those falls through to manual matching.

Why does my Epicor bank reconciliation show a variance?

A variance usually means a statement line was matched to nothing or to the wrong transaction. A common case on the Epicor forum is a vendor refund entered as an AP adjustment that Bank Statement Processing does not offer for matching, so it gets keyed as an undefined line and then posts twice. Matching against the GL export first shows where the line really belongs.

Does this work with Epicor ERP 10 and Epicor Prophet 21?

It works with any Epicor product that can export the cash account to Excel or CSV, including Epicor ERP 10 and Kinetic, cloud or on premises. Prophet 21 users export the bank account transactions the same way. The matching does not depend on the Epicor version, only on having a date, a reference and an amount.

Do I need to install anything in Epicor?

No. You upload an export and the bank statement. There is no customization, no BAQ to deploy on the server, no API access and no bank login to share, so your Epicor partner and IT team do not need to be involved. Files are encrypted in transit and at rest, as described on the security page.
