For property accountants on Yardi

Yardi bank reconciliation software for every Voyager property account

Forty properties, an operating and a security deposit account for each, and the BAI2 import left a pile of rent batches and returned payments open again. Upload the statement and a Yardi cash account export and get back what matches, what is missing and what is posted twice.

No bank connection, no Yardi add-on, nothing installed.

The short answer

Yardi Voyager bank reconciliation is a cleared balance process: you enter the statement ending balance and mark what the bank cleared, and the Automatic Bank Reconciliation module can clear part of it from a BAI2 file. The items it leaves open, mostly batched rent deposits, returned payments and fees, are where the hours go. Matching the statement against a Yardi GL export first lists those items in minutes, for each property account.

Why Yardi bank reconciliations stay open at month end

Property accounting has its own shape. Hundreds of small rent receipts, a lot of bank accounts per owner or per property, and a close that owners and lenders watch. Four patterns cause most of the open items.

Rent batches

One deposit, many receipts

Online rent payments settle as a single bank deposit, while Yardi holds a receipt per resident. One to one matching cannot pair them.

Returns

NSF and reversed ACH

A returned rent payment shows on the statement days later. Until the receipt is reversed in Yardi, the account is off by exactly that amount.

Accounts

Operating, deposit, reserve

Each property can carry an operating account, a security deposit account and a reserve. A portfolio of forty properties is a hundred reconciliations a month.

Banks

No BAI2 from this bank

A local bank an owner insists on, or an account opened last month, has no BAI2 setup yet. Those accounts are reconciled entirely by hand.

How to reconcile a Yardi Voyager bank account in four steps

  1. Export the cash account

Run a general ledger detail report for the property and its cash account for the statement month, and export to Excel. Keep the date, control or check number, description and debit and credit columns, or one signed amount. Avoid a register layout with separate Deposit and Withdrawal columns; the GL layout reads cleanly.

  2. Get the statement

Download the month for that account as PDF, or as CSV, XLSX, OFX, QFX, QBO, MT940 or CAMT.053. The statement is what your owner reports and your auditor rely on, so it is the right source. See supported formats.

  3. Six matching passes run

Exact amount and date, then check or reference number, then amount inside a date window, then grouped matches where several resident receipts add up to one bank deposit to the cent, then duplicates and near matches such as transposed digits. No match rules to configure.

  4. Finish in Voyager

On the bank reconciliation screen, mark the paired items cleared, reverse the returned rent, post the bank fees from the adjusting entries file, confirm the difference is zero and save. Outstanding checks carry into next month's list automatically.

What you get back for each property account

Matched list

What to mark cleared

Every statement line shows the Yardi entry it paired with and the pass that paired it, so clearing in Voyager is ticking from a list, not searching.

Rent batches

Many receipts, one deposit

Combinations of up to six receipts from the 14 nearest by date are tested for an exact sum, the same engine as matching bank deposits to invoices. Where your GL shows a large online batch as one deposit line, it matches directly.

Returns

NSF items on top

A returned payment on the statement with no reversal in Yardi shows as missing, with the amount and date, so the resident ledger can be corrected the same day.

Duplicates

The same deposit twice

Equal amounts within seven days are flagged, the usual sign of a deposit keyed by the site and again by accounting.

Adjusting entries

Fees and interest, ready to post

Bank-only lines come out as a CSV of adjusting entries, so service charges and interest are posted from a file instead of retyped.

Owner package

A report per account per month

A PDF and XLSX bank reconciliation report with the outstanding items listed, ready for the owner package or the audit binder.

Who uses it alongside Yardi

Property management accounting teams

A third-party manager closing dozens of owner entities every month. The Firm plan covers 25 companies and 75 bank accounts for $399 a month, each with its own workspace and a status board that shows which properties are done.

Owner-operators and smaller portfolios

A family office or regional operator on Yardi Breeze or Voyager with five properties and a bank that does not send BAI2. The Business plan covers five companies and 15 accounts for $149 a month.

Real estate accountants and auditors

CPA firms that review a manager's reconciliations or need to catch up months after a staffing gap. See bank reconciliation for accountants and catch up bank reconciliation.

If every bank sends BAI2 and the automatic module clears nearly everything, keep using it. Matching first pays off on the accounts that do not behave: rent batches that never pair one to one, returned payments, banks without BAI2, a catch-up after a turnover in the accounting team, or the property that is off by an amount nobody can find. Teams on other platforms can compare AppFolio bank reconciliation software options or the best bank reconciliation software overall.

Yardi bank reconciliation questions

How does bank reconciliation work in Yardi?

Yardi Voyager uses a cleared balance approach. You enter the statement ending balance, mark the checks, deposits and other items the bank has cleared, and the uncleared items left over must explain the gap between the book balance and the bank balance. Outstanding checks and deposits in transit stay open until a later statement clears them.

Does Yardi have automatic bank reconciliation?

Yes. Yardi's Automatic Bank Reconciliation module reads a BAI2 file from the bank and marks the general ledger items it can match as reconciled. One Yardi consultancy says the default configuration targets roughly 50 to 85 percent of items, so batched deposits, returns and other odd items are still cleared by hand.

Why won't my Yardi bank reconciliation balance?

The usual causes are an online rent batch that hit the bank as one deposit but sits in Yardi as many receipts, a returned (NSF) payment never reversed, a bank fee nobody entered, a check posted to another property's cash account, or a deposit keyed twice. Matching the statement itself against a GL export lists each of those lines with its amount.

Can I reconcile Yardi without BAI2 or a bank feed?

Yes. BankReconciler reads the PDF or downloaded statement and an Excel export of the cash account, so it works for banks that cannot send BAI2 and for accounts that are not connected. You review the matched list and exceptions, then mark the items cleared in Voyager as usual.

Where are Yardi Kube deposits reconciled?

Yardi's Kube help center says deposits entered in Kube stay labeled Unreconciled until they are reconciled in Yardi Voyager Accounting. The same statement-against-ledger match works there: export the cash account from Voyager and match it to the bank statement.

How much does it cost?

Starter is $49 a month or $288 a year for one company, three bank accounts and 1,500 transactions a month. Business is $149 a month for five companies and 15 accounts, and Firm is $399 a month for 25 companies and 75 accounts. You can run one real month before you pay.
