Why catch up reconciliation takes so long by hand

Months pile up

A busy checking account has 150 to 400 lines a month. Twelve months behind means thousands of lines to tick against the books.

Errors carry forward

A wrong balance in March is still wrong in December. Every month inherits the open items and mistakes of the one before it.

Feeds have gaps

A bank feed that disconnected for weeks, or imported the same day twice, leaves missing and duplicate lines that the reconcile screen will not point out.

PDF only history

Older periods often exist only as PDF statements. By hand, that means reading each page and comparing it line by line on a second screen.

How to catch up on bank reconciliations with BankReconciler

  1. 1 Collect every missing statement

    Start from the last month that was properly reconciled and download every statement after it. Online banking usually keeps a year or more of statements as PDF downloads. For older months, request copies from the bank early, since they can take a week or two to arrive.

  2. 2 Export the books for the whole period

    One export of the bank account covers every month. In QuickBooks use Transaction Detail by Account, in Xero the Account Transactions report, in NetSuite a saved search on the cash account. A spreadsheet ledger works as it is.

  3. 3 Reconcile the oldest month first

    Before any matching starts, the statement opening balance, movements and closing balance are checked to add up, and you compare the opening balance with last month's reconciled balance, so an old gap shows up at once instead of in month nine. Six matching passes pair the lines and leave you only the exceptions.

  4. 4 Carry open items forward and repeat

    Outstanding checks and deposits in transit move into the next month on their own. Each month closes with suggested adjusting entries for fees, interest and returned checks, which you download as CSV for your ledger.

If the books themselves are missing, with no entries for months, a bookkeeper has to post them first. If the entries are there and only the reconciliations were skipped, software does the heavy part. Catch up bank reconciliation questions

How do I catch up on bank reconciliations?

Start with the oldest unreconciled statement and work forward one month at a time. Confirm the opening balance matches the last reconciled balance, match every line, record bank fees and interest, and carry outstanding checks and deposits in transit into the next month. Jumping between months is how duplicates and missed items creep in.

Can you reconcile multiple months at once?

You can load several months in one session, but each month should still close against its own statement ending balance. Lumping a year into one reconciliation hides where a difference started. How long does catch up bookkeeping take?

For the bank reconciliation part, most of the time goes into collecting statements. Once the files are in, matching a month of a busy checking account takes minutes instead of one to three hours by hand, so a year of one account fits into an afternoon of review. What if the opening balance does not match the last reconciliation?

Something changed in a period that was already closed, usually an edited, deleted or backdated entry. Fix that first, because every later month inherits it. No. You upload the statements your bank already gives you, as PDF, CSV, XLSX, OFX, QBO, MT940 or CAMT.053. There is no bank connection to approve. Every format is listed on supported formats.
