For finance teams on Dynamics 365 Business Central

Business Central bank reconciliation software for Dynamics 365 bank accounts

Match Automatically paired what it could. The lump sum deposits, the lines with a difference and the bank that only gives you a PDF are still sitting on the page, and it will not post. Upload the statement and your bank account ledger entries and get the full match in minutes.

No extension to install, no bank feed, no admin rights needed.

The short answer

Business Central reconciles a bank account on the Bank Acc. Reconciliation page: statement lines on the left, bank account ledger entries on the right, and nothing posts until every statement line is matched with no difference. The built in matching needs the statement as a feed or a file, so PDF statements, grouped deposits and missing entries are worked by hand. Matching the statement against a ledger export first tells you exactly which lines to match, post or fix.

If your bank feed is connected and the automatic match clears almost every line, you already have what you need. A separate match earns its fee on the accounts that do not behave: a bank that only issues PDF statements, card and lockbox deposits that settle as one credit, a reconciliation that refuses to post, or months that were skipped during a go-live. Why a Business Central bank reconciliation will not post

The page is strict on purpose. Microsoft's documentation says you cannot post a bank account reconciliation that has differences. Four situations cause most of the stuck ones.

Differences

Many to one that nets to zero

A statement line of 200 matched to entries totaling 180, and another that is over by 20. The two differences cancel, and it still will not post.

Missing entries

Fees and interest with no entry

Bank charges on the statement have nothing to match until a journal line is posted. Each one goes through Transfer to General Journal first.

Direct posting

G/L balance off from the bank ledger

An opening balance or a correction posted straight to the G/L account never reaches the bank account ledger, so the two balances drift apart.

Statement format

A PDF and nothing else

No feed for this bank and no file format set up. In the North American version, the Bank Rec. Worksheet does not import statement files at all.

How to reconcile a Business Central bank account in four steps

  1. Export the ledger entries

Open the bank account, open its ledger entries, filter the posting date to the statement month and choose Open in Excel. Keep posting date, document number, description and amount. Include open entries from earlier months so last month's outstanding checks can clear.

  2. Get the statement

Download the month as PDF, or as CSV, XLSX, OFX, QFX, QBO, MT940 or CAMT.053. Scanned PDFs are read too. The full list is on supported formats.

  3. Six matching passes run

Exact amount and date, then check or document number, then amount inside a date window, then grouped matches where several ledger entries add up to one bank line to the cent, then duplicates and near matches such as transposed digits. Nothing to configure.

  4. Post in Business Central

Post the missing fees and interest from the adjusting entries file, reverse the duplicate, then match from the finished list on the Bank Acc. Reconciliation page. With no differences left, run the Test Report and post.

What you get back for each bank account

Matched list

Every pair, with the reason

Each statement line shows the ledger entry it paired with and the pass that paired it, so matching in Business Central is working down a list.

Grouped deposits

Lump sums broken out

Combinations of up to six entries from the 14 nearest by date are tested for an exact sum, the same engine used for matching bank deposits to invoices. Exact sums only, so no match carries a difference.

Missing entries

Journal lines ready to post

Bank only lines such as fees, interest and returned items come out as a CSV of adjusting entries with date, description and amount.

Duplicates

The payment posted twice

Equal amounts within seven days are flagged. In the ledger they look like two unmatched entries; here one is labeled as the likely double.

Outstanding items

Checks that have not cleared

Ledger entries with no bank line are listed as outstanding and carried into next month's run, which should agree with the outstanding checks on your Test Report.

Audit file

A report per account per month

A PDF and XLSX bank reconciliation report with preparer and reviewer sign off, ready for the auditor's request list.

Who uses it alongside Business Central

Controllers at distributors and manufacturers

One or two entities, a handful of bank accounts and a close calendar with no slack. Starter covers one company and three accounts for $49 a month; Business covers five companies and 15 accounts for $149.

Teams in the middle of a go-live

Bank reconciliation is often the task that slips during a migration. Three or six unreconciled months are cleared the same way, one statement at a time. See catch up bank reconciliation.

Accounting firms and fractional CFOs

Firms that close books for several Business Central clients and do not hold a license in each tenant. The Firm plan covers 25 companies and 75 accounts for $399 a month. See bank reconciliation for accountants.

Business Central bank reconciliation questions

How do I reconcile a bank account in Business Central?

Open Bank Account Reconciliation, create a new reconciliation, pick the bank account, then enter the statement date and the statement ending balance. Import the statement or use Suggest Lines, run Match Automatically, match the remaining lines by hand, resolve every difference, check the Test Report and choose Post. Unmatched ledger entries stay open as outstanding items.

Can Business Central import a PDF bank statement?

No. Business Central fills the bank statement lines from a bank feed, from a bank file, or from a CSV file after a bank statement file format has been set up for that account. A PDF statement has to be typed in or converted first. BankReconciler reads the PDF itself and matches it against your ledger entry export.

Why can't I post my bank reconciliation in Business Central?

Business Central does not post a bank reconciliation while any statement line shows a difference. Microsoft's documentation adds that many to one matches with differences block posting even when those differences net to zero. Post the missing fees, interest or corrections as journal lines first, then match the statement lines to the new entries.

Does Business Central have automatic bank reconciliation?

Yes. Match Automatically pairs statement lines with bank account ledger entries inside a transaction date tolerance you set in days, and Reconcile with Copilot then looks at what is left using dates, amounts and descriptions. Microsoft states that Copilot matches can be incorrect or incomplete, so each one should be reviewed before you keep it.

How do you handle outstanding checks in Business Central?

You leave them unmatched. Bank account ledger entries for checks dated on or before the statement date that have no statement line appear as Outstanding Checks on the Test Report, and they are available to match on a later reconciliation once the bank clears them. They do not block posting; only differences on statement lines do.

How do I undo a posted bank reconciliation in Business Central?

Open the Bank Account Statement List, select the statement and choose Undo. The entries return to the Bank Account Reconciliations page as open, so you can correct and post again, and Change Statement No. lets you reuse the original number. In the North American version this requires Bank Recon. with Auto. Match to be turned on in General Ledger Setup.

How much does it cost?

Starter is $49 a month or $288 a year for one company, three bank accounts and 1,500 transactions a month. Business is $149 a month for five companies and 15 accounts, and Firm is $399 a month for 25 companies and 75 accounts. You can run one real month before you pay.
