For property managers and their accountants
Rent Manager Bank Reconciliation Software
Rent Manager clears what you tick and what Bank Sync can see. The rest is a deposit that covers a dozen tenants, a fee nobody entered and a feed that posted the same payment twice. Upload the statement and a register export and get a list of exactly what to clear and what to fix.
No bank link needed. PDF statements work. No Rent Manager login for your reviewer.

Reconcile a Rent Manager account
The short answer
You reconcile a bank account in Rent Manager under Banking, Reconcile, clearing each register entry that is on the statement, and Bank Sync can pull in bank activity for some editions and banks. What stays open is a lump deposit, a missing fee or a duplicate. BankReconciler matches any statement to your Rent Manager export and lists each of them, from $49 a month.
Where a Rent Manager reconciliation stops tying out
A manager with one operating account can tick the statement in an hour. A manager with trust, security deposit and owner accounts for dozens of properties cannot, and the same four problems show up every month.
Batched deposits
One credit, many receipts
Lockbox and online rent arrive as a lump. The register holds each receipt separately, so no single entry equals the bank line.
Feed duplicates
The same payment twice
When a feed creates a transaction that was already keyed by hand, the register is overstated until someone finds and removes it.
Returned items
NSF rent and bank fees
A bounced payment, its fee and the monthly service charge are on the statement and in no ledger until they are entered.
Unlinked banks
The PDF only account
An owner's local bank, a closed account or a new client's last six months. Nothing to connect, so every line is checked by eye.
Manual reconciliation, Bank Sync and a statement match compared
| Task | Manual in Rent Manager | Bank Sync | BankReconciler first |
|---|---|---|---|
| Statement source | Paper or PDF statement read by eye | A connected bank or card account | PDF, CSV, XLSX, OFX, QBO and more, from any bank |
| One deposit, many receipts | Add receipts until a total fits | You review what it cannot pair | Groups of up to six receipts tested for an exact sum |
| Fees and returned rent | Spotted while reading | Offered as transactions to create | Bank only lines exported as a CSV |
| Duplicates | Found when the balance is off | Removed by hand after the fact | Equal amounts within seven days flagged |
| Old months and new clients | One statement at a time | Covers the period after the link | Any month you have a statement for |
| Cost | Included, plus staff hours | Depends on your Rent Manager edition | From $49 a month |
Rent Manager wins where it should. It posts directly, and Bank Sync saves keying for connected accounts. If every account you run is connected and clean, you may not need anything else. The gap is the account that is not connected, the batch that will not pair and the month you are catching up.
How to reconcile a Rent Manager bank account in four steps
-
Export the register
Run Bank Account Activity or GL Cash Activity for the same dates as the statement and export to Excel. Keep date, reference, tenant or payee and amount.
-
Get the statement
Download the period as PDF or in any format the bank offers. Scanned PDFs are read too. See supported formats.
-
Six passes run
Exact amount and date, check number, amount inside a date window, then grouped matches where several receipts add up to one deposit, with duplicates and outstanding items listed.
-
Finish in Rent Manager
Enter the missing fees, remove the duplicates, then open Banking, Reconcile, clear the matched list and finish at a zero difference.
What you get back for each Rent Manager bank account
Matched list
Every pair, with the reason
Each bank line shows the register entry it paired with and the pass that made the match, so clearing is working down a list instead of holding two documents side by side.
Grouped deposits
The tenants behind a deposit
The same engine used for matching bank deposits to invoices finds the receipts that add up to a lump credit.
Missing entries
Fees and returns to record
Service charges, NSF returns, interest and sweep transfers come out as a CSV with date, description and amount.
Duplicates
Entries to remove
Equal amounts within seven days are flagged, which catches a payment keyed by hand and then created again by a feed.
Outstanding items
Checks that have not cleared
Register entries with no bank line are listed as outstanding and carried into next month's run.
Audit file
A report per account per month
A PDF and XLSX bank reconciliation report with preparer and reviewer sign off, for owners, associations and trust account audits.
Who uses it alongside Rent Manager
Small portfolios
An operating account, a deposit account and a reserve. Starter covers one company and three accounts for $49 a month, less than the hour a bad month costs.
Third-party managers
Trust and operating accounts across many owners. Business covers five companies and 15 accounts for $149. Comparing platforms? Read the best bank reconciliation software for property management.
Bookkeepers and CPA firms
Reconciling a manager's accounts from files without a Rent Manager seat. Firm covers 25 companies and 75 accounts for $399. See bank reconciliation for accountants.
Three-way trust reconciliation with Rent Manager
A three-way reconciliation checks that the bank balance, the book balance and the total of the tenant and owner ledgers agree on the same date. Rent Manager supplies the book and ledger sides. The weak point in most audits is the bank side, because one unexplained difference makes the other two comparisons meaningless.
That is the leg BankReconciler proves. Every statement line is paired with a register entry or listed with a reason, and the signed report shows who prepared and reviewed it. Then bank, book and ledger become a comparison of three totals instead of a hunt.
Rent Manager bank reconciliation questions
How do you reconcile a bank account in Rent Manager?
Open Banking and choose Reconcile, enter the statement date and ending balance, then clear each register entry that appears on the statement. Record any fee or interest that is missing, and finish when the difference is zero. Print the reconciliation report for the file.
Does Rent Manager have automatic bank reconciliation?
Rent Manager offers Bank Sync, which connects bank and credit card accounts through Plaid, finds unmatched transactions and lets you create them in the software. It is offered on higher editions of Rent Manager and only for banks that can be connected, so PDF only accounts still need another route.
Why does my Rent Manager bank reconciliation not balance?
Usually one deposit covers several tenant receipts that Rent Manager holds separately, a bank fee or returned payment was never recorded, a feed created a duplicate, or an item was cleared in the wrong period. Matching the statement line by line against a register export shows each one by amount.
Can I reconcile Rent Manager from a PDF bank statement?
Yes, with BankReconciler. It reads PDF statements, including scanned ones, and matches them against a Rent Manager export. That helps for an owner's local bank, a closed account or a new client whose history needs catching up.
Does BankReconciler do a three-way trust reconciliation?
It does the bank leg: the statement against the trust account in your books, with every difference explained. The third leg, the total of the owner and tenant ledgers, still comes from Rent Manager's own reports. Proving the bank side first makes the bank, book and ledger comparison fast.
How much does it cost?
Starter is $49 a month or $288 a year for one company, three bank accounts and 1,500 transactions a month. Business is $149 a month for five companies and 15 accounts, and Firm is $399 a month for 25 companies and 75 accounts. You can run one real month before you pay.
