AppFolio bank reconciliation software options for property managers
AppFolio's Bank Feed clears most transactions on its own; AppFolio puts it at 80 to 90 percent. The rest, plus any account the feed does not cover, is where property managers either pay a bookkeeper by the hour or use a statement matching tool for $49 to $399 a month. If Bank Feed already leaves almost nothing open, you do not need anything else.

Match a property statement nowAppFolio bank reconciliation options compared
A property manager on AppFolio has four realistic ways to get bank accounts reconciled each month. They are not exclusive. Most teams run Bank Feed and add one of the others for the accounts and items it does not settle.
| Option | What it does | Cost | Best for |
|---|---|---|---|
| AppFolio Bank Feed | Pulls bank transactions through a bank connection or an uploaded file and clears matches automatically, with suggested matches for the rest | Part of your AppFolio subscription | Every account the feed connects to |
| Manual against the statement | Tick each item on the reconciliation screen from the paper or PDF statement | Staff hours | Quiet accounts with a few dozen lines |
| Outsourced AppFolio bookkeeper | A freelancer or firm does the reconciliations, often with the three-way trust tie | Roughly $40 to $70 an hour for US bookkeepers, or a per-property fee | Managers with no accounting staff |
| Statement matching tool | Matches the bank statement to an AppFolio cash export and lists grouped deposits, returns, duplicates and missing lines | $49 to $399 a month, see pricing | Teams with busy accounts, a backlog or a difference they cannot find |
AppFolio does not publish prices. Its pricing page lists Core, Plus and Max plans with a minimum spend and, on Core, a 50 unit minimum, so the cost of the platform itself comes from your quote. Switching platforms to fix reconciliation rarely makes sense; the open items come from how money moves through property accounts, and every system meets the same ones.
What AppFolio Bank Feed handles well
Bank Feed launched in late 2022 and sits on the Bank Accounts page. Transactions arrive through a bank integration or a manually uploaded transaction file, and AppFolio matches and clears them against existing records. AppFolio describes the automatic rate as about 80 to 90 percent and says Bank Feed matched more than 3 million transactions in 2023. For what it cannot match, it suggests likely AppFolio records, and for items that have no record yet, such as an auto-payment, you can create the record from Bank Feed and match it in one step.
Because the feed runs continuously, teams can reconcile weekly or even daily instead of facing the whole month at once. If your accounts are on a connected bank, rent comes in through AppFolio's own payment flows and vendor payments go out through AppFolio too, Bank Feed will clear the vast majority, and the honest advice is to keep it that way.
What stays open after Bank Feed
Ten to twenty percent sounds small until you multiply it. A manager with 60 properties and an operating and a security deposit account for each runs 120 reconciliations a month. If each leaves 15 lines open, that is 1,800 items to research by hand, and they are the hard ones:
- Deposits that bundle several payments. A walk-in batch of checks, a housing authority payment covering several units, or an owner contribution split across properties lands as one bank credit against several records. Matching one to one fails; the amounts have to be added in combination. That is the same problem as matching bank deposits to invoices.
- Returned payments. An NSF check or a reversed ACH rent payment shows up days later as a debit. Until the receipt is reversed, the account is off by exactly that amount. The handling is covered in NSF checks in a bank reconciliation.
- Accounts the feed does not reach. A local bank an owner insists on, a reserve account at a different institution, or a newly opened account that has not been connected yet.
- Months before the feed. A portfolio taken over from another manager, or months that were never reconciled after staff turnover. Bank Feed starts from when it is connected; the backlog still has to be done.
- Gaps and doubles. A connection that needed reauthorizing can skip or repeat days. Reconciling to the feed then carries the same gap forward; reconciling to the statement does not.
If part of your rent roll is commercial tenants who pay against invoices for CAM charges or reimbursements, accounts receivable automation that chases unpaid invoices cuts down the late and partial payments that later surface as reconciling items.
How a statement matching tool works with AppFolio
A matching tool does not replace AppFolio and does not connect to it. It works from two files you already have, then you finish the reconciliation in AppFolio as usual.
- Export the cash account. Run a general ledger report for the property's bank account and the statement month and export it to Excel, with debit and credit columns or one signed amount.
- Download the statement. PDF, CSV, XLSX, OFX, QFX, QBO, MT940 or CAMT.053 all work. The statement, not the feed, is the source, so feed gaps show up as missing lines.
- Run the match. BankReconciler runs six passes: exact amount and date, check or reference number, amount inside a date window, grouped matches where up to six records add up to one bank line to the cent, then duplicates and near matches such as transposed digits.
- Finish in AppFolio. Clear the matched items, reverse the returned payments, post the bank fees from the adjusting entries file and complete the reconciliation. Outstanding items carry to next month's run.
For trust accounts, this covers the bank-to-book leg of the three-way reconciliation. The third leg, the total of owner and tenant ledgers, still comes from AppFolio's own reports. Each run also produces a PDF and XLSX bank reconciliation report with the outstanding items, which fits the owner package or a state audit file.
Which option fits which property manager
Small portfolio, connected banks, rent through AppFolio. Bank Feed alone. If month end takes an hour, there is nothing to buy.
No accounting staff. Hire an AppFolio bookkeeper. Marketplaces list many, and freelancers with property experience usually include the three-way trust tie. Ask how they reconcile: to the statement or only to the feed, and what you receive each month. The bank reconciliation outsourcing cost comparison has the questions to ask.
In-house accountant, busy accounts or a backlog. Add a matching tool. The Business plan at $149 a month covers five companies and 15 bank accounts; Firm at $399 covers 25 companies and 75 accounts, with a status board for which properties are closed. A takeover backlog is the fastest win; see catch up bank reconciliation.
Accounting firms serving property managers. The same tool lets a firm review a client's AppFolio reconciliations without logging in to the client's system. See bank reconciliation services for CPA and bookkeeping firms. Managers on Yardi have the same pattern with BAI2; see Yardi bank reconciliation software.
AppFolio bank reconciliation questions
Does AppFolio do bank reconciliation?
Yes. AppFolio reconciles bank accounts from the Bank Accounts page, and its Bank Feed matches and clears bank transactions against AppFolio records automatically, which AppFolio says covers about 80 to 90 percent of them. The rest you match by hand from suggested matches, or record first and then match, before completing the reconciliation.
How often should property managers reconcile bank accounts?
At least monthly. AppFolio's own guidance says monthly reconciliation is needed to meet most local real estate regulations and accounting principles, and state trust account rules commonly expect a monthly reconciliation with the records kept. With a bank feed, many teams also match weekly so month end is shorter.
What is a three-way reconciliation in property management?
It ties three numbers for a trust account: the bank statement balance, the book balance of the trust cash account, and the total of the individual owner and tenant ledgers. All three must agree. The bank-to-book leg is an ordinary bank reconciliation, which a matching tool speeds up; the ledger total comes from AppFolio.
What does it cost to hire someone to reconcile AppFolio accounts?
Freelance AppFolio bookkeepers bill by the hour or by the property, and US bookkeeping rates in 2026 price guides run roughly $40 to $70 an hour. A busy property account can take two to four hours by hand. A matching tool costs $49 to $399 a month depending on companies and bank accounts, and leaves your staff only the exceptions.
