For controllers and firms on Acumatica Cloud ERP
Acumatica bank reconciliation software for every cash account
Auto-Match handled the clean lines. The batched deposits, the bank that only sends a PDF and the difference on Reconciliation Statements that will not reach zero are still yours. Upload the statement and a cash account export and see every match and every gap in minutes.
No customization project, no bank feed, no Acumatica license for your reviewer.

Reconcile an Acumatica account
The short answer
Acumatica reconciles a cash account in three screens: Import Bank Transactions, Process Bank Transactions with Auto-Match, and Reconciliation Statements, where the difference has to reach zero before you release. It imports OFX, QFX, QBO and Excel, not PDF, and it will not process a split deposit until you find the exact payments behind it. Matching the statement against a cash account export first tells you which lines to match, create or fix.
Where the Acumatica bank reconciliation process gets stuck
The workflow is sound when the bank sends clean files and every document carries a reference number. Month end rarely looks like that. Four situations account for most of the hours.
Statement format
The bank only gives a PDF
The import service reads OFX, QFX and QBO. Excel works with the statement date and balances typed in. A PDF statement from a regional bank has no path in at all.
Split deposits
One credit, nine payments
Match to Multiple Payments lets you tick several documents, but processing waits until the matched amount equals the bank amount. Finding which nine is still manual.
Relevance
Low scores on good matches
Relevance is weighted on reference number, date and payee. ACH lines with a truncated payee and no reference score low and fall to the manual pile.
First statement
A go-live difference
Checks and deposits that were open in the old system must exist as documents in Acumatica, or the first reconciliation never gets to zero.
Acumatica matching compared with a statement match
| Task | Manual on Process Bank Transactions | Auto-Match | BankReconciler first |
|---|---|---|---|
| Statement source | Imported OFX, QFX, QBO or Excel, or a bank feed | Same imported lines | PDF, scanned PDF, CSV, XLSX, OFX, QFX, QBO, MT940, CAMT.053 |
| How it matches | You pick documents line by line | Relevance on reference number, document date and payee inside a date range | Six passes, each match labeled with the pass that made it |
| One deposit, many payments | Tick them until the totals agree | Usually left for you | Finds the exact set of up to six nearby payments |
| Payment entered twice | Found if you notice | Stays unmatched with no flag | Equal amounts within seven days flagged as a likely duplicate |
| Who can do it | A user with Cash Management access | Same | Anyone with the two files, including an outside reviewer |
| Cost | Staff hours | In your subscription | From $49 a month, see pricing |
If your banks send OFX or a feed and Auto-Match clears nearly everything, keep doing that. A separate match pays off on the accounts that do not cooperate: a PDF only bank, merchant and lockbox deposits that settle as one credit, a difference that has sat on the statement for weeks, or months that slipped during the move from QuickBooks or Sage. Coming from Sage? The older workflow is covered on Sage Intacct bank reconciliation and Sage 300 bank reconciliation.
How to reconcile an Acumatica cash account in four steps
-
Export the cash account
Pull the month's transactions for the cash account to Excel, from Cash Account Details or a generic inquiry your team already uses. Keep date, reference number, description and amount, and include open items from earlier months so old checks can clear.
-
Get the statement
Download the month as PDF or in any format the bank offers. Scanned PDFs are read too. The full list is on supported formats.
-
Six passes run
Exact amount and date, then check or reference number, then amount inside a date window, then grouped matches where several payments add up to one bank line to the cent, then duplicates and near matches such as transposed digits. No weights or thresholds to tune.
-
Finish in Acumatica
Create the fee and interest entries from the adjusting entries file, void the duplicate, tick the exact payments for each grouped deposit on Process Bank Transactions, then Reconcile Processed. The difference should be zero, so you clear Hold and release.

What you get back for each cash account
Matched list
Every pair, with the reason
Each bank line shows the document it paired with and why, so the manual part on Process Bank Transactions becomes working down a list.
Grouped deposits
The exact payments behind a credit
Combinations of up to six payments from the 14 nearest by date are tested for an exact sum, the same engine used for matching bank deposits to invoices. That is the list Match to Multiple Payments needs.
Missing entries
Fees and interest, ready to enter
Bank only lines such as service charges, interest and returned items come out as a CSV with date, description and amount.
Duplicates
The refund entered twice
Equal amounts within seven days are flagged. In Acumatica they sit as two unmatched documents with nothing to say one is extra.
Outstanding items
Checks that have not cleared
Documents with no bank line are listed as outstanding and carried into next month's run, so they agree with what stays unreconciled in Acumatica.
Audit file
A report per account per month
A PDF and XLSX bank reconciliation report with preparer and reviewer sign off for the audit binder.

Clearing a client's backlog after go-live without a user in their tenant. The Firm plan covers 25 companies and 75 accounts for $399 a month. See catch up bank reconciliation.
Acumatica bank reconciliation questions
What is the bank reconciliation process in Acumatica?
Three screens. Import the statement on Import Bank Transactions, run Auto-Match and process the matches on Process Bank Transactions, then open Reconciliation Statements, pick the cash account, enter the statement date and ending balance and choose Reconcile Processed. Mark any remaining items until the difference is zero, clear Hold and release the statement.
Can Acumatica import a PDF bank statement?
No. The built in statement import service reads OFX, QFX and QBO files, Excel can be imported with the statement date and ending balance typed in by hand, and connected banks can arrive through bank feeds. A PDF statement has to be keyed or converted first. BankReconciler reads the PDF itself and matches it against your cash account export.
How does Auto-Match work in Acumatica?
Auto-Match filters the cash account's documents by the date range in the matching settings, gives each candidate a relevance score from reference number, document date and payee, and matches the ones that score high. Lines it matched are skipped on the next run. Weights and date ranges are set on Cash Management Preferences or per cash account through Match Settings.
Can one bank transaction match several payments in Acumatica?
Yes. Turn on Match to Multiple Payments, or Match to Multiple Documents on the invoices tab, and tick each one. Acumatica only lets you process the transaction once the matched amount equals the bank amount exactly, so the work is finding which payments add up to the deposit. BankReconciler returns that set for you.
Why won't my Acumatica reconciliation statement balance?
Usually one of four things: a bank fee or interest line with no document, a payment entered twice, a document dated in the wrong period, or an opening item from the old system that was never brought over. Matching the statement line by line against the cash account lists each one by amount, so you fix causes instead of chasing the total.
What is different about the first bank reconciliation in Acumatica?
The first statement after go-live carries everything that was open in the old system. Outstanding checks and deposits in transit must exist in Acumatica as documents, or the difference never reaches zero. Run the old system's last reconciled statement and the first Acumatica month through a match to see exactly which items were not converted.
How much does it cost?
Starter is $49 a month or $288 a year for one company, three bank accounts and 1,500 transactions a month. Business is $149 a month for five companies and 15 accounts, and Firm is $399 a month for 25 companies and 75 accounts. You can run one real month before you pay.
