The short answer

Sage 300 CRE reconciles a bank account in Cash Management. Import Cleared Checks clears checks from a bank file, but deposits, payments and transfers are still marked one by one. Matching the full statement against a Sage 300 export first turns that into a finished list, so the reconcile task is a few minutes of clearing, not an afternoon.

What Import Cleared Checks leaves for you to clear by hand

A Sage 300 CRE user asked in the Sage community whether bank reconciliation could be automated with a file import and matching. The answer from Sage was clear: the import clears checks, and deposits, payments and transfers are not part of it. On a contractor's operating account, those are most of the money.

How to reconcile a Sage 300 bank account in four steps

  1. Export the cash account

    Run the general ledger detail for the cash account for the statement month and export it to Excel. Keep the date, the reference and either Debit and Credit columns or one signed amount. A debit to cash reads as money in, a credit as money out.

  2. Get the statement

    The PDF from online banking works. So do CSV, XLSX, OFX, QFX, QBO, MT940 and CAMT.053 from treasury portals. Nothing to configure per bank, see supported formats.

  3. Six matching passes run

    Exact amount and date, then check number, then amount inside a date window, then grouped deposits that add up to the cent, then duplicates and near matches. Every transaction type goes through the same passes, not only checks.

  4. Clear and reconcile in Sage

    Keep using Import Cleared Checks if you have it. Clear the remaining deposits, payments and transfers from the matched list, enter fees and interest from the adjusting entries file, and run the reconcile task with a zero difference.

If your account is almost all checks and the import already clears them, you may not need us. The case for matching outside Sage is the account with wires, ACH and transfers, which on a busy contractor's books is most of the activity. How do I do a bank reconciliation in Sage 300 CRE?

In Cash Management, enter the bank statement for the account with its ending balance. Clear checks by hand or with Tools, Import Cleared Checks, then mark the deposits, payments and transfers that cleared. When the cleared total ties to the statement, run Tasks, Reconcile with Reconcile cleared entries checked, and print the reconciliation report for the month.

Can Sage 300 CRE automate bank reconciliation?

Partly. Import Cleared Checks reads a bank file and clears the matching open checks, and the reconcile task then picks up everything cleared on or before the statement date. In the Sage community, Sage confirmed the import does not cover deposits, payments and transfers, so those stay manual unless you match them outside Sage first.

Why is my Sage 300 bank reconciliation out of balance?

The usual causes are a voided check that was not cleared correctly, an entry posted straight to the cash GL account without going through Cash Management or Bank Services, a deposit recorded in a different grouping than the bank shows, a duplicate entry, or a bank fee nobody entered. Matching the statement to the ledger lists the exact line instead of a bare difference.

Does this work with Sage 300 ERP, the former Accpac?

Yes. In Sage 300 ERP the reconciliation lives in Bank Services, Bank Transactions, Reconcile Statements. Export the cash account detail for the month, match it against the statement here, then clear the matched lines and post the bank fees in Reconcile Statements. Nothing about the matching depends on which Sage 300 you run.

Do I need to install anything in Sage 300?

No. You upload an export and the bank statement. There is no add-on to install, no database access and no bank login to share, so your Sage partner and IT team do not need to be involved. Files are encrypted in transit and at rest, as described on the security page.
