Sage 100 Contractor Bank Reconciliation Software
Clearing items one by one in 1-5 works until a lender draw lands as one credit, the bank only sends a PDF and the ending balance is off by an amount nobody recognizes. Upload the statement and a cash account export and know exactly what to clear before you save Final.

Reconcile a Sage 100 Contractor account
The short answer
Sage 100 Contractor reconciles a bank account in 1-5 Bank Reconciliation, where you clear each record that appears on the statement until the ending balance agrees. It does not read PDF statements, and a reconciliation saved as Final cannot be undone. Matching the statement against a cash account export first tells you which items to clear, which bank charges to post in 1-3 and which checks are still outstanding.
Where a contractor's bank reconciliation stops tying out
The 1-5 window is a check register with a Clear button. That is fine for a quiet operating account. Construction cash is rarely quiet, and four patterns eat most of the close.
Draws and pay apps
One credit, four receipts
A lender draw or an owner payment covers several pay applications. The bank shows one deposit, your books show four receipts, and none of them equals the bank line on its own.
Payroll and subs
A long outstanding list
Weekly payroll, subcontractor and joint checks clear on their own schedule. After a few months the uncleared list is long enough that a wrong click hides in it.
Bank only lines
Charges nobody posted
Service charges, interest, positive pay fees and sweep transfers have to go through 1-3 Journal Transactions before 1-5 can agree. Miss one and the difference never closes.
Final is final
No undo button
Once saved as Final the records are updated permanently. Clearing the wrong check to force a balance stays in the books until someone finds it next year.
1-5 clearing, Sage Bank Feeds and a statement match compared
| Task | Manual clearing in 1-5 | Sage Bank Feeds | BankReconciler first |
|---|---|---|---|
| Statement source | Paper or PDF statement read by eye | Transactions downloaded from a connected bank | PDF, scanned PDF, CSV, XLSX, OFX, QFX, QBO, MT940, CAMT.053 |
| One deposit, several receipts | Add up receipts until a total fits | Usually left for you in Match Banking Transactions | Finds the exact set of up to six nearby receipts |
| Missing bank charges | Spotted while reading the statement | Show as unmatched bank lines | Listed as a CSV ready to enter in 1-3 |
| Months of backlog | One statement at a time | Limited to what the feed still holds | Run month by month from saved statements |
| Posts to the ledger | Yes, directly | Yes, directly | No, you clear and post in Sage from the list |
| Cost | Included, plus staff hours | Included with your Sage plan | From $49 a month, see pricing |
Sage wins on two counts: it is already paid for, and clearing happens right where the records live. If your bank feed is connected and 1-5 agrees in half an hour, keep doing that. A separate match earns its fee on the accounts that fight back: a job account at a regional bank that only issues PDFs, draw deposits that never line up with one receipt, a retainage account nobody has reconciled since spring, or the months left open after a controller moved on. For that last case see catch up bank reconciliation.
How to reconcile a Sage 100 Contractor bank account in four steps
-
Export the cash account
Print the general ledger or checkbook register for the cash account for the statement month and send it to Excel. Keep date, record number, description and amount, and include items still uncleared from earlier months so old checks can match.
-
Get the statement
Download the month as PDF or in any format the bank offers. Scanned PDFs are read too. The full list is on supported formats.
-
Six passes run
Exact amount and date, then check number, then amount inside a date window, then grouped matches where several receipts add up to one bank credit to the cent, then duplicates and near matches such as transposed digits. Nothing to configure.
-
Finish in Sage 100 Contractor
Post the missing charges and interest in 1-3 Journal Transactions, void the duplicate, then in 1-5 clear the matched records from the list. If most items cleared, use Clear for all and reopen the outstanding ones with Open. Tick Create PDF of the report file and save Final only when the balances agree.

What you get back for each bank account
Matched list
Every pair, with the reason
Each bank line shows the record it paired with and which pass made the match, so clearing in 1-5 turns into working down a list instead of reading two documents side by side.
Grouped deposits
The receipts behind a draw
Combinations of up to six receipts from the 14 nearest by date are tested for an exact sum, the same engine used for matching bank deposits to invoices.
Missing entries
Charges ready for 1-3
Bank only lines such as service charges, interest, returned items and sweep transfers come out as a CSV with date, description and amount.
Duplicates
The check entered twice
Equal amounts within seven days are flagged. In 1-5 they simply sit as two uncleared records and the extra one ages quietly in the outstanding list.
Outstanding items
Checks that have not cleared
Records with no bank line are listed as outstanding and carried into next month's run, so they agree with what you leave open in 1-5.
Audit file
A report per account per month
A PDF and XLSX bank reconciliation report with preparer and reviewer sign off, useful for a surety, a lender covenant review or the year end audit.

Sage 100 Contractor bank reconciliation questions
How do I do a bank reconciliation in Sage 100 Contractor?
Enter bank charges and interest in 1-3 Journal Transactions first. Then open 1-5 Bank Reconciliation, enter the Account# and Statement Cutoff Date, click Display Items, clear each item that appears on the statement and compare the Statement Ending Balance with the bank. Save as Trial to finish later or Final when it agrees.
Can you undo a bank reconciliation in Sage 100 Contractor?
No. Sage's help says that saving a reconciliation as Final updates the records permanently and cannot be undone. That is why the safe habit is to save as Trial while you work, and only click Final once every cleared item has been checked against the statement and the balances agree.
Does Sage 100 Contractor have bank feeds?
Yes. Sage Bank Feeds downloads transactions from a connected bank, and you match them to Sage 100 Contractor records in the Match Banking Transactions window. It depends on your bank being supported and the connection staying live, so PDF statements, closed accounts and catch up months still have to be worked by hand.
Can Sage 100 Contractor import a PDF bank statement?
No. 1-5 Bank Reconciliation lists your own uncleared records and you clear them against the paper or PDF statement yourself, while bank feeds need a connected bank. BankReconciler reads the PDF statement directly, matches it to your cash account export and tells you which items to clear.
Why won't my Sage 100 Contractor bank reconciliation balance?
Usually one of four things: a bank charge or interest line never entered in 1-3, a check entered twice, a deposit recorded as one receipt when the bank split it (or the reverse), or an item cleared in an earlier month by mistake. Matching the statement line by line against the cash account shows each one by amount.
Is Sage 100 Contractor the same as Sage 100?
No. Sage 100 Contractor, formerly Master Builder, is construction accounting with job cost and its own 1-5 Bank Reconciliation window. Sage 100, formerly MAS 90, is a general ERP with a Bank Reconciliation module. For that one see our page on Sage 100 bank reconciliation software.
How much does it cost?
Starter is $49 a month or $288 a year for one company, three bank accounts and 1,500 transactions a month. Business is $149 a month for five companies and 15 accounts, and Firm is $399 a month for 25 companies and 75 accounts. You can run one real month before you pay.
