Reconcile nowHow to reconcile a bank statement, step by step
-
1 Get the statement for the month
Download the monthly statement from online banking as PDF, CSV, OFX, QBO, MT940 or CAMT.053. A PDF works fine, there is no need to convert it first.
-
2 Export the cash account from your books
In QuickBooks, Xero, NetSuite or your spreadsheet, export the transactions of the bank account for the same month. Include a few days before and after the month so late entries can match.
-
3 Upload both files
Drop the statement on the left and the ledger on the right. BankReconciler detects the columns, the dates and the opening and closing balances on its own.
-
4 Choose the date tolerance
Pick how many days apart a bank line and a book entry may be and still count as the same transaction. Five days suits most checking accounts.
-
5 Review what is left
Matched lines move out of the way. You look only at the items in the bank but not in the books, the items in the books but not in the bank, duplicates and near matches.
-
6 Record the adjustments and download the report
Import the suggested adjusting entries for fees, interest and returned checks, then download the reconciliation report in PDF or XLSX for your files.
What BankReconciler checks on every statement
- Opening balance plus all movements equals the closing balance on the statement
- Every statement line against every ledger entry, by amount, date, check number, reference and description
- One bank deposit against several invoices or receipts, and one ledger entry against a batch of card settlements
- Duplicate entries on the bank side and on the book side
- Outstanding checks and deposits in transit from the previous month
Reconciling bank statements by hand versus with software
Ticking lines with a pen or a VLOOKUP takes one to three hours for a busy account and misses the entries that are a day late or split in two. BankReconciler runs the same comparison in minutes and shows you only the items that need a decision.

Questions about reconciling a bank statement
How often should I reconcile my bank statement?
Every month, as soon as the statement arrives. Accounts with heavy traffic are often reconciled weekly.
Can I reconcile a scanned PDF statement?
Yes, on paid plans. Scanned statements are read with text recognition and checked against the statement balances before matching.
What if my ledger is a spreadsheet?
Upload it as XLSX or CSV. BankReconciler finds the date, description and amount columns, including separate debit and credit columns.
Can I reconcile several months at once?
Yes. Upload a statement and ledger per month, and outstanding items from one month are carried into the next.
