Refund policy
Applies from October 14, 2026. Money paid to BankReconciler is not returned, save for three specific cases described below.
Every paid BankReconciler plan is covered by this page, which is incorporated into our terms of service.
What a plan covers
You subscribe by the month or by the year. In return your account gets, every billing month, the allowance of companies, bank accounts, transactions and scanned statements shown on the pricing page, plus matching, exception reports and exports. The whole allowance is there from the first day of each billing month, and the price does not change whether you close the books for one month or catch up on a full year.
Before paying you can run the trial reconciliation and see a partial, watermarked report built from your own statement. Subscribing is a request for us to start right away, so any statutory withdrawal or cooling-off right that would otherwise exist ends once the service is running, and you agree to that at checkout.
The three exceptions
- Charged twice. A billing error took the same period from you more than once.
- Card used without consent. Nobody on your side approved the payment, you contact us within 14 days of it, and the account history and payment data agree. We rely on that evidence, reviewed with our payment operator, not on the claim by itself, and we may ask you to show that you have told your card issuer too.
- Service fully broken. A fault we confirm in our own systems kept BankReconciler from working at all for an unbroken stretch, you reported it during that stretch, and we did not get it running. Slow matching, a single statement that could not be read, or trouble with your own computer, browser or connection is outside this case.
When we approve one of these, you receive no more than the fee for the affected period, paid back to the card that was charged, and that ends the matter. An earlier refund gives no claim to a later one.
Situations without a refund
- The month-end close is finished, a client of your practice moved elsewhere, or the tool is no longer needed.
- You reconciled fewer companies, accounts, transactions or statements than the plan allows, or none, while it was paid.
- Differences remain in your ledger after a reconciliation. We flag matches and exceptions; clearing them and keeping the books right is your job, as section 9 of the terms sets out.
- A statement was a poor scan, locked with a password, damaged, or in a layout we cannot read.
- An export looked different after it was imported into your accounting system.
- A renewal went through after the card had been declined once or more.
- You assumed the plan was paid once. The fact that it renews appears in four places: pricing page, checkout, confirmation email, billing panel.
- You cancelled after the renewal date instead of before it.
- An integration or feature you wanted is not listed for your plan on the pricing page.
- The plan or billing length you picked did not suit you.
- Someone else, a colleague included, signed in with your credentials.
- Days left in the period after you cancel. The plan runs until the paid period ends and is not pro-rated.
Requesting a refund
Write to support@bankreconciler.com from the email on your account, no later than 14 days after the charge, giving its date, its amount and the exception you rely on. Anything arriving after day 14, or from an email that matches no BankReconciler account, goes unreviewed. We work through the queue oldest first, and a refusal is not revisited.
Going to your bank to dispute a charge before you have written to us breaches the terms of service, and the account is then closed for good.
Cancelling and renewals
Cancel in the billing panel whenever you like; you do not need to contact anyone. No renewal is charged after that, and the plan keeps working until the paid period ends. A cancellation is not treated as a refund request.
Each new period begins on the renewal date shown in the billing panel and its fee is due on that day. If your card is declined, the payment operator attempts the same invoice again over the next few days, which does not add a charge. Cancelling while those attempts are running stops future periods only: the period already begun stays payable, and a payment that clears several days into it is kept.
Records we keep
Opening a BankReconciler account means agreeing to the terms of service, which contain this policy, and to our privacy policy. The plan, the price, the billing period and the automatic renewal are on the checkout screen before you pay and in the confirmation email afterwards.
Each subscription file contains the purchase timestamp, the plan and price that checkout displayed, the record of your acceptance of the terms, the emails and renewal notices we sent, and the account activity history: sign-ins, statements uploaded, reconciliations run and reports exported, each with its technical details. On top of that, the payment operator logs, per transaction, which country issued the card, where the attempt came from and whether 3D Secure verification with the bank passed. We check refund and dispute claims against this material and hand it to the card issuer if a chargeback is filed.
Earlier purchases
A subscription bought before October 14, 2026 is governed by the refund rules in force on its purchase date.
