Why GP bank reconciliation still takes two days at month end

Select Bank Transactions is one long grid

A distributor with daily receipts and weekly check runs sees hundreds of open items per checkbook. Sorting by amount and marking one at a time against a PDF is most of the work, and a single missed line leaves a difference you then have to hunt for.

EBR only clears what the rules expect

Electronic Bank Reconciliation needs a configuration for each bank file layout and match criteria per checkbook. When a bank changes its BAI2 or CSV format, or the IT person who set it up has left, the import breaks and the team goes back to marking by hand.

Batch deposits never equal one receipt

Cash receipts entered one per customer land at the bank as one deposit, or the other way round when lockbox splits a day. One-to-one rules cannot pair them, so they fall through every month.

GL and checkbook drift apart

Journal entries posted straight to the cash account skip the checkbook, so the bank rec ties out while the GL does not. Finding that entry in a year of history is a job for the controller nobody has time for.

How to reconcile a Dynamics GP checkbook in four steps

  1. Export the cash account from GP

    Open the Account Transactions SmartList, restrict it to the cash GL account and the statement month, and export to Excel. Keep TRX Date, Reference, Debit Amount and Credit Amount. A debit to cash reads as money in, a credit as money out.

  2. Get the statement from the bank

    The PDF works. So do CSV, XLSX, OFX, QFX, QBO, MT940 and CAMT.053 from treasury portals. No file layout to configure, see supported formats.

  3. Six matching passes run

    Exact amount and date first, then check or EFT number, then amount within a date window, then grouped deposits that add up to the cent, then duplicates and near matches. You get back a short list of exceptions instead of a grid of 1,200 lines.

  4. Mark and reconcile in GP

    In Reconcile Bank Statements, open Select Bank Transactions and mark down the matched list. Enter fees and interest as adjustments from the adjusting entries file, and the difference is zero the first time.

Where EBR is already configured and clears 95 percent of a checkbook, keep it, and use us only for the stubborn accounts. Where it was never set up, or broke when the bank changed formats, matching outside GP is quicker than a partner project on a product that stops getting updates in 2029. How do I do a bank reconciliation in Dynamics GP?

Go to Transactions, Financial, Reconcile Bank Statements. Pick the checkbook, enter the statement date and the ending balance, then open Select Bank Transactions and mark every deposit, check and adjustment that cleared the bank. Enter bank fees and interest as adjustments with their GL accounts, and click Reconcile once the difference reads zero. Print the reconciliation report for the file.

What is Electronic Bank Reconciliation in Dynamics GP?

Electronic Bank Reconciliation, or EBR, imports a bank statement file into GP and clears the transactions that meet your matching rules. Before it works you configure the bank file layout, usually BAI2 or a CSV, and set match criteria for each checkbook. Lines the rules cannot pair, such as batched deposits, still wait for you to mark them manually.

Why is my Dynamics GP bank reconciliation out of balance?

The common causes are a journal entry posted straight to the cash GL account without going through the checkbook, a check voided in a later period, cash receipts deposited in a different grouping than the bank shows, a duplicate entry, or a bank fee nobody entered. A statement to ledger match lists the exact line rather than a bare difference.

Does this still work after Dynamics GP support ends?

Yes. BankReconciler reads exported files and does not depend on any GP version, service pack or year-end update. It works the same on GP today and on Business Central, QuickBooks or NetSuite after a migration, so the reconciliation process and history move with you.
